Let's Connect

From Vendor List to Live Program

You hand us your supplier list and your document requirements. We do the rest — and keep doing it as your vendor base changes.

Define

We work with you to set the transaction sets, required fields, and business rules your suppliers must meet, then publish a vendor implementation guide and integrate the program with your ERP or WMS.

Enroll

We contact every supplier on your list, explain the requirement, and give each one a path that fits its size — full ERP integration, a browser-based WebEDI portal, or a connection through the EDI provider they already use.

Certify

Every vendor tests against your specifications before they go live. We validate each document, resolve issues directly with the supplier, and report progress across the whole vendor base back to you.

Run

Purchase orders flow out and vendor documents flow into your ERP automatically, with 24/7 monitoring and support for you and your suppliers. New vendors are added the same way, whenever they come on.

One Connection to You. Every Vendor Behind It.

Your ERP talks to Infocon Systems once. We handle the hundreds of vendor connections, formats, and protocols on the other side.

Any Business That Buys From Suppliers

If you issue purchase orders and receive goods, a supplier EDI program pays for itself in receiving accuracy, invoice matching, and staff time.

Retailers

Require ASNs and invoices from every vendor — including the small ones — and receive by the carton instead of by the purchase order.

Distributors

Standardize inbound documents across hundreds of manufacturers so your ERP stops absorbing supplier-by-supplier exceptions.

Manufacturers & Brand Owners

Source components and finished goods from suppliers, sell through distributors, and keep both sides of your supply chain on one EDI program.

3PLs & Logistics

Bring your clients' inbound vendors onto EDI so receipts, ship notices, and warehouse documents arrive in a format your WMS can act on.

Supplier EDI Onboarding FAQ

What is EDI supplier onboarding?

EDI supplier onboarding is the process a buying organization uses to move its vendors from email, fax, and portal orders onto electronic document exchange — purchase orders out, acknowledgments, ship notices, and invoices back in. It covers defining the document requirements, contacting each vendor, testing their transactions, certifying them as compliant, and keeping them compliant over time. Infocon Systems, a fully managed EDI provider since 1988, runs this entire program on behalf of retailers, distributors, manufacturers, and brand owners, so the buyer does not need in-house EDI staff or software.

How do I get my vendors to use EDI?

Vendors adopt EDI when the requirement is clear, the path is easy, and someone is there to help them through it. Infocon Systems handles all three: we publish your EDI requirements and implementation guide, contact every vendor on your list, and give each one a way to comply that fits its size — full integration with their own ERP, a browser-based WebEDI portal for vendors with no EDI capability, or a connection through the EDI provider they already use. Infocon Systems then tests and certifies each vendor and reports progress back to you, so your team is never the one chasing suppliers.

What if a supplier doesn't have EDI?

Most supplier bases include vendors with no EDI capability at all. Infocon Systems gives those vendors a WebEDI portal: they log in through a browser, see your purchase orders, and turn around acknowledgments, ship notices, and invoices as web forms — no software to install and nothing to map. Every document they send arrives at your ERP as fully compliant EDI, identical to what an integrated vendor sends. This lets you require EDI from 100% of your suppliers, not just the large ones.

How long does it take to onboard suppliers to EDI?

Individual vendors typically go live within days once they engage; how long the full program takes depends on the number of suppliers and how you choose to phase them. Infocon Systems has been running trading partner onboarding since 1988 and manages the entire cycle — outreach, testing, certification, and go-live — in parallel across your vendor list rather than one supplier at a time. Vendors already on Infocon's network or already trading EDI with other buyers can be connected fastest.

Which EDI documents should I require from suppliers?

The standard buyer-side set is the 850 Purchase Order sent to the vendor, with the 855 PO Acknowledgment, 856 Advance Ship Notice, and 810 Invoice returned. Many buyers add the 860 PO Change, 846 Inventory Advice, 820 Payment/Remittance Advice, and 830 Planning Schedule depending on the industry. Infocon Systems works with you to define the right transaction set and the business rules behind it — required fields, packing hierarchy, timing windows — and enforces those rules during vendor certification so what arrives in your ERP is usable on day one.

Do I need my own EDI software to run a vendor EDI program?

No. With Infocon Systems the buyer needs no EDI translator, VAN contract, or EDI staff. Infocon Systems integrates directly with your ERP, WMS, or accounting system — any platform — and handles translation, communications (AS2, SFTP, VAN), monitoring, and support for both you and your vendors. Your team works in the system it already uses; purchase orders flow out and vendor documents flow in automatically.

How much does a supplier EDI onboarding program cost?

Program pricing depends on the size of your vendor base, the documents you require, and how the program is integrated with your ERP. Infocon Systems provides a custom quote for each buying organization with no per-transaction fees. Contact Infocon Systems at 1.888.339.0722 or sales@infoconn.com for a free consultation.
